What you need to know about Convocation.
How and when do I notify the Registrar's Office that I am ready to graduate?
You must apply to graduate. Download the Request to Graduate Form, complete it and submit the form (by fax or in person), along with the required convocation fee, to the Registration and Records Office on any Seneca Campus.
NOTE: Even if you are not participating in a convocation ceremony, you still need to fill out a "Request to Graduate" form and pay the fee in order to receive your diploma, certificate or degree.
If I am eligible to graduate but cannot attend the convocation ceremony, can I attend and participate in another graduation ceremony?
If you were recommended to graduate by the academic area and your diploma/certificate/degree has been printed but you could not attend the graduation ceremony, you may participate in the next scheduled convocation ceremony.
However, you must first submit a letter to the convocation coordinator stating a valid reason why you could not attend. The convocation coordinator will respond with a letter of permission, which will be required to gain access to the next scheduled event.
What time should I arrive, and what time should my guests arrive?
Graduates should arrive at least one hour prior to the start time (i.e. 9:00 am if the ceremony is at 10:00 am and 1:00 pm if the ceremony starts at 2:00 pm, 5:30 pm if the ceremony is at 6:30 pm).
The doors will open to admit guests 1 hour prior to the start time. Guests are seated on a first come, first served basis.
Are there tickets or invitations for my guests?
There are no tickets or invitations for your guests. On your convocation response form you still need to indicate how many guests will attend. Please note there is a maximum of three (3) guests per graduand.
What should I wear the day of the ceremony?
The convocation ceremony is a formal occasion, so dress clothes would be appropriate.
The graduation gowns are black with red and white trim, open at the front and are approximately knee length. There are no graduation caps.
How long is the convocation ceremony?
The ceremony lasts approximately 2 hours. After the convocation ceremony a reception will be held for graduates and their guests, where light refreshments will be served. In this area, the various vendors will have tables set up so graduates and guests can purchase frames, flowers, school rings, and have access to photo opportunities.
Certificates, diplomas and degrees will not be available until the completion of the ceremony. The photographer will not be available while the ceremony is in progress.
How can I pick up my degree/diploma/certificate if I cannot attend the graduation ceremony?
Beginning October 29, 2014 you may pick up your degree, diploma or certificate from the Markham Campus Registration Office.
Monday - Thursday: 8:30 am - 7:00 pm
Friday: 8:30 am - 5:00 pm
One piece of photo ID will be required. If you wish to have someone else pick up your degree, diploma or certificate, provide them with a letter of authorization, signed by you. They will need their own photo ID.
NOTE: All credentials not claimed within six months following convocation are destroyed. There is a $62.15 (H.S.T. included) fee if you request a replacement.
If I have paid the courier fee, when can I expect to receive my degree/diploma/certificate?
Degrees, diplomas and certificates are delivered by courier to students who have paid the courier fee, beginning the week of November 3, 2014 and continue until all are sent. The degrees/diplomas/certificates are couriered by UPS within Canada and require a signature upon delivery. For deliveries outside of Canada we use an international courier.
Do I have to pay alumni fees if I am a part-time student?
Part-time students are required to pay the $29.00 Alumni Fee if their program consists of 10 or more credits.
