Overview

Develop your language and office skills to enhance your opportunity for employment in an office environment with Seneca's Office Administration certificate programs.

Through our office administration programs, you will develop the basic skills necessary to work in any general business office environment within industry and commerce, government agencies, educational institutions or other business organizations. Some of the topics you will study include: oral and written office language skills, word processing, document preparation techniques, contemporary office procedures, current software applications such as Microsoft Word, and problem solving techniques.

The General Assistant, Receptionist Clerk, and Executive Assistant certificate programs are designed in building blocks so that credits from one certificate may be applied towards another. Students must apply to graduate after completion of each certificate. Certificates cannot be awarded retroactively.

Occasionally, certificate requirements are updated to meet changes in the workplace so that the skills of our graduates are current. Contact the Program Coordinator or Program Assistant for further information or to discuss your specific questions.

Entry Requirements

Determined through an English Assessment, students must be assessed at a minimum placement of ESL934 or EAC149.

Prerequisites

It is your responsibility to ensure that program requirements and course prerequisites as outlined are met. Prerequisites are included for your academic protection. Knowledge of the prerequisite material is assumed by your instructor and instruction will proceed accordingly. Students lacking prerequisites not only jeopardize their own ability to succeed but present unnecessary interruption. If you lack appropriate prerequisites (or Transfer Credit for the prerequisite course) you may be asked to withdraw or transfer to a more appropriate course with the risk of academic/financial penalty.

Students must enrol for English Assessment and with a placement result of EAC149 or ESL934 are eligible to enrol in SST051

Corequisite(s):

May be taken concurrently with KIP103

This course is designed for students who are either hoping to be or already employed in an office setting, and are responsible for the preparation of correspondence where they are expected to correct grammatical errors as well as spell and punctuate correctly. Students begin with simple exercises to identify subjects and verbs, and work towards producing and correcting more complex sentences, including punctuation. Numerous proofreading exercises of varying degrees of difficulty help improve vocabulary, reading ability, and grammar.

KIP103
Office I: Keyboard,Information Processing-Word

Corequisite(s):

SST051 (can be taken with KIP103).

Students learn how to manage files and folders using Windows Explorer. Students learn keyboarding and the basics of Microsoft Word including how to format business documents, memos and letters. Upon completion of the course, the successful student has a minimum keyboarding speed of 30 net words per minute. This course consists of 72 hours of instructional time as well as homework assignments.

Office Language Skills

Grammar is Important (SST051)

This course is a practical application and expansion of the grammar and proofreading skills acquired in Grammar is Important. The course focuses on the organization and content of written office communications. Students learn to write letters and memos that respond effectively and appropriately to a variety of typical business situations. Students must use correct vocabulary, grammar, and punctuation in all assignments.

Office II: Information Processing/Word II

Prerequisite(s):

Keyboarding Information Processing KIP103, Grammar Is Important SST051.

Using Microsoft Word, students expand on the features covered in KIP103 including: multi-page letters and memos, reports with additional parts, newsletters, agendas, and itineraries. Upon completion of the course, the successful student has a minimum keyboarding speed of 45 net words per minute. This course consists of 72 hours of instructional time as well as homework assignments.

Contemporary Office Procedures

Grammar is Important SST051, Office Language Skills OLS101 and Advanced Information Processing AIP203.

Through simulated office applications and classroom lectures, students are introduced to business ethics and human relations skills; changes in office organization and work environments; computer technology; professionalism in the office; time management skills; researching, summarizing and preparing written and oral presentations; telecommunications; records management; organizing and arranging business meetings and conferences; arranging business travel plans; ergonomics; and conducting a job campaign. This course consists of 72 hours of instructional time plus homework assignments.

Office III: Word III/Power Point

Prerequisite(s):

Grammar is Important SST051, Office Language Skills OLS101 and Advanced Information Processing AIP203.

Students apply the document preparation skills learned in AIP203 to produce a variety of business related correspondence and documents using the software package Word. Advanced Word features are taught. Students are introduced to the presentation package PowerPoint including creating a slide presentation, adding clip art to a presentation, changing the text and fill colours of objects in a presentation. This course consists of 72 hours of instructional time plus homework assignments.

Office IV: Excel

Prerequisite(s):

Office Computer Applications I (OCA103)

Students continue to improve upon their ability to manipulate software within the Windows environment as they learn the basic features of Excel. In the second part, students learn to enhance a worksheet and chart and to work with multiple worksheets in a workbook. They study financial functions including data tables, amortization schedules and hyperlinks.

Office V: Access

Prerequisite(s):

Office IV: Excel (OCA303)

Students learn to work effectively in a simulated computerized business environment by working through case studies. Students produce complex databases, merge data between Access and Word, and develop on-screen presentations in order to analyze data in typical business situations using features of Microsoft Access to create, edit, sort, query and maintain a database; create report forms; Object Linking and Embedding (OLE) fields, hyperlinks, subforms, and macros.

Machine Transcription

Prerequisite(s):

Grammar is Important SST051, Office Language Skills OLS101 and Advanced Information Processing AIP203.

This course is designed to develop a student's skill in accurately and quickly transcribing machine dictation. Students increase their knowledge of formatting business correspondence and documents as well as review and reinforce proper use of grammar, spelling, punctuation and vocabulary. There are 42 hours of instructional time plus homework assignments.

Business Verbal Communications

Prerequisite(s):

A strong command of English is required.

This course is designed to meet the needs of business people who need to improve their presentation skills, their one-on-one verbal communication, and their ability to instruct, inform, motivate, and sell their ideas in the office or around the boardroom table.

A net speed of 45 WPM is required to graduate. Additional typing speed practice can be obtained by enrolling in KIP010. Speed typing test is available by enrolling in PRE022.

Credit for Prior Learning

Prior Learning Assessment

Earn college credits for what you already know!
Prior Learning Assessment is a method of assessing and recognizing learning that is equal to college level learning, but has been gained outside a traditional classroom (through work experience, volunteering, outside study, etc.). If you can prove that the knowledge you have gained meets the outcomes of a Seneca course, then credit will be awarded.

How does the PLA process work?
Prior Learning is demonstrated through a "challenge" process. The process measures learning through a variety of methods which may include tests, portfolio assessment, interviews, demonstrations, essays, and work samples. The method used will be determined in consultation with a Program Coordinator.

The process may take from 6 to 8 weeks.

Transfer Credit (Advanced Standing)

Many students who enter Seneca College will have earned academic credits in post-secondary educational institutions which they may be able to apply toward completion of a Seneca College program.

Requests for Transfer Credit must be for a specific course and must be accompanied by an official transcript and course outline. A minimum grade of "C" (60 percent) is generally required for a course to be considered for Transfer Credit.

Download a Transfer Credit Request form. An official copy of your transcript and applicable detailed course outlines should be attached and submitted. Please note it may take 4 to 6 weeks for a Transfer Credit decision.

Graduation/Convocation

When you meet all program requirements and become eligible for a certificate, diploma, or degree, you must inform the Registrar by completing a Graduation Application form and paying the graduation and alumni fee. Certificates, diplomas, and applied degrees are issued twice a year in the Fall (October) and Spring (June).
